As we continue to grow, we are looking for individuals who take pride in their work, embrace responsibility and are passionate about contributing to the brand's journey.

About the Role

We are looking for a dedicated and experienced Senior HR & Administration Executive to join our team. As our first dedicated HR professional, you will take ownership of our day-to-day human resource functions across our headquarters, retail boutiques and cafe operations.

This is a hands-on and multifaceted role, covering recruitment, employee relations, HR policies, HR operations and general administration, alongside administrative support for our Finance team.

You will work closely with management and department heads to build structured HR processes, support employee development and foster a professional, positive and accountable work environment.

The ideal candidate is organised, proactive and approachable, with the maturity and confidence to manage people-related matters independently while maintaining fairness, professionalism and discretion.

Key Responsibilities

1. Recruitment & Manpower Planning

  • Manage end-to-end recruitment across headquarters, retail and cafe operations.

  • Work closely with department heads to understand manpower requirements and hiring priorities.

  • Prepare job advertisements, screen applications, shortlist candidates and conduct initial interviews.

  • Coordinate interviews, reference checks, employment offers and contract preparation.

  • Develop and maintain a pipeline of suitable candidates, including part-time employees.

  • Monitor recruitment progress and recommend improvements to hiring strategies.

  • Assist with workforce planning to support operational manpower needs.

2. Employee Relations & People Management

  • Act as the primary point of contact for employees on HR-related enquiries and concerns.

  • Support management in handling employee relations, workplace conflicts, performance concerns and disciplinary matters.

  • Provide guidance to department heads on employee management and HR best practices.

  • Coordinate probation reviews, performance appraisals and employee feedback processes.

  • Conduct exit interviews and identify opportunities to improve employee retention.

  • Promote a fair, respectful and professional working environment.

  • Ensure company policies and workplace standards are communicated and applied consistently.

3. HR Policies & Compliance

  • Develop, review and maintain HR policies, employee handbooks and internal procedures.

  • Ensure compliance with Singapore employment legislation, MOM regulations and relevant statutory requirements.

  • Standardise HR processes and documentation across departments.

  • Prepare and maintain employment contracts, confirmation letters, warning letters and other HR correspondence.

  • Keep employee records accurate, organised and confidential.

  • Review existing practices and recommend improvements to HR policies and internal processes.

  • Advise management on HR-related matters and employment regulations.

4. HR Operations & Payroll Coordination

  • Oversee employee onboarding and offboarding processes.

  • Manage employee leave, attendance, medical leave and other HR-related records.

  • Collate and verify monthly payroll information, including attendance, overtime, allowances and deductions.

  • Coordinate with the Finance team to ensure accurate and timely payroll processing.

  • Support CPF and other statutory employment-related administration.

  • Track employee probation periods, contract renewals and performance review schedules.

  • Maintain HR databases, employee trackers and monthly HR reports.

  • Assist with employee benefits and insurance administration.

5. Finance & General Administration

  • Provide administrative support to the Finance team on day-to-day documentation and coordination.

  • Assist with organising invoices, receipts, expense claims and reimbursement records.

  • Follow up with departments on outstanding documents and financial submissions.

  • Assist with basic data entry, filing and record maintenance.

  • Support the preparation of payment documentation and routine financial reports when required.

  • Manage general office administration, including office supplies, subscriptions and administrative renewals.

  • Maintain organised company records, files and administrative documentation.

  • Coordinate internal administrative arrangements and employee-related activities.

6. HR Planning & Process Improvement

  • Identify opportunities to improve existing HR and administrative processes.

  • Develop structured systems for recruitment, onboarding, probation reviews and employee performance management.

  • Monitor recruitment progress, employee turnover and other relevant HR indicators.

  • Recommend practical initiatives to improve workflow efficiency, employee engagement and retention.

  • Support management in strengthening company culture, employee accountability and internal communication.

  • Take initiative in implementing HR improvements and following through on assigned projects.

Requirements

  • Diploma or Degree in Human Resources, Business Administration or a related discipline.

  • Minimum 3–5 years of relevant HR experience, preferably in a generalist role.

  • Strong working knowledge of Singapore employment legislation, MOM requirements and HR practices.

  • Experience independently managing recruitment, employee relations and HR administration.

  • Prior experience in retail, fashion, lifestyle or hospitality would be an advantage.

  • Strong organisational skills with excellent attention to detail.

  • Good written and verbal communication skills.

  • Mature, professional and discreet when handling confidential and sensitive employee matters.

  • Able to exercise sound judgement, fairness and empathy in managing people-related situations.

  • Proactive, resourceful and solutions-oriented, with the ability to work independently.

  • Comfortable working in a dynamic and growing SME environment.

  • Proficient in Microsoft Office, Google Workspace and HR systems.

  • Basic finance or accounting administration experience would be an added advantage.

Who We're Looking For

We value someone who is dependable, organised and takes genuine ownership of their responsibilities. You should be comfortable working independently, taking initiative and proactively identifying areas for improvement without constant supervision.

As our first dedicated HR professional, you will have the opportunity to contribute to the development of KLARRA's people practices and play an important role in supporting our team as we grow.

We appreciate individuals who communicate thoughtfully, demonstrate emotional maturity and can balance empathy with fairness and professionalism.
